Overview

NZMS is seeking a proactive and skilled Project Coordinator to manage digitisation, data transformation, and photographic imaging projects. This role requires solid experience in photography or digitisation, data manipulation skills, strong project management capabilities, and leadership, to ensure project documentation and quality results.  Instinctive curiosity may well be your most significant attribute.

Role Summary

The Project Coordinator is a key member of the Digitisation Team, responsible for managing projects from start to finish. The focus is on delivering projects on time, within budget, and aligned with stakeholder expectations. Projects can be relatively simple through sophisticated; all requiring a careful and considered, detailed, approach.

Primary Responsibilities:

Project Planning:

Develop comprehensive project plans outlining scope, objectives, timelines, deliverables, and resources. Work closely with team members and stakeholders to gather requirements and define clear goals.

Team Leadership:

Support the Operations Manager in assembling and leading the project team. Delegate tasks, provide direction, and encourage collaboration and positive team dynamics. Involve training and mentorship as needed.

Risk Management:

Anticipate and address potential risks or issues. Implement strategies to mitigate them and monitor risk factors throughout the project lifecycle.

Stakeholder Engagement:

Maintain open and effective communication with clients, sponsors, and internal team members. Manage expectations and address feedback to ensure stakeholder satisfaction.

Quality Assurance:

Oversee output standards, ensuring all reports and deliverables meet quality benchmarks. Manage post-production activities to meet client requirements.

Resource Coordination:

Collaborate with other Project Leaders and the Operations Manager to handle resource allocation, equipment upkeep, and inventory.

Budget Oversight:

Track the client’s budget, project expenditures and ensure the financial efficiency of each project.

Process Enhancement:

Identify opportunities to improve operational processes and work with leadership to implement efficiency-boosting changes.

Health and Safety:

Ensure compliance with all workplace health and safety standards and regulations.

Monitoring and Reporting:

Track project milestones and performance metrics. Take corrective action when needed to keep projects aligned with objectives. Prepare fit for purpose project reports, including completion summaries and lessons learned.

 

Skills & Experience Required:

  • Intermediate proficiency in Excel (we can provide details if required)
  • Report writing and formatting skills
  • Experience in digital photography.
  • Familiarity with Adobe Photoshop, Bridge, Lightroom (preferred)
  • Coding and/or data manipulation skills (a plus)
